Privacy policy
Last updated October 2026.
Who we are
Velkiro Pty Ltd trading as Velkiro. In this policy, "we", "us" and "our" mean Velkiro. We are based in Australia.
This policy explains how we handle personal information in connection with this website. It is written to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
We collect personal information only when you give it to us. Specifically:
- When you send us an enquiry or request a demo: your work email address, first name, last name, phone number and company name.
- When you book a time with us: your name, email address and any answers you give in the booking form, along with the time you choose. Bookings are made through Google Calendar's appointment booking page, which is provided by Google and shown inside our website (see "Booking a meeting" below).
- When you email us: your email address and whatever you include in your message.
- With every form submission: your IP address and your browser's user agent (the name and version of your browser and operating system), recorded alongside your enquiry so we can detect and block abuse of the form.
- Automatically, from our web server: your IP address, the pages requested, and standard request metadata, recorded in server logs.
We do not use advertising trackers, analytics that profile you across sites, or third-party marketing pixels. Fonts and stylesheets are served from our own domain, so browsing this site does not report your visit to a third party. The one exception is the booking calendar, which is loaded from Google when you open it (see below).
We do not collect sensitive information as defined by the Privacy Act, and we ask that you do not send it to us.
Why we collect it
- To respond to your enquiry and arrange a demonstration.
- To schedule the meeting you booked, and to send you the calendar invitation, video link and reminders for it.
- To send you the material you asked for.
- To follow up about our products where you have asked us to, or where it is reasonably related to your enquiry.
- To keep our website secure and to detect and prevent abuse of our forms.
We will not use your details for an unrelated purpose without telling you, and we do not sell personal information to anyone, ever.
Booking a meeting
Our booking calendar is Google Calendar's appointment booking page, provided by Google as part of Google Workspace. It is not loaded when you browse our pages: it is fetched from Google only when you click a "Book a demo" button or visit our contact page. From that point Google receives your IP address and standard browser information, and the details you enter in the booking form are collected by Google and passed to us as a calendar booking.
Google handles that information under its own privacy policy, available at policies.google.com/privacy, and may set its own cookies within the booking calendar. If you would rather not use Google's booking page, you can send us an enquiry through our contact form instead and we will arrange a time with you directly.
Once a meeting is booked, the booking (your name, email address, form answers and the meeting time) is held in our Google Workspace calendars and email, and we use it only to hold the meeting and follow up on it.
Consent and direct marketing
When you submit the demo form you are asked to agree to us contacting you about your request. You can withdraw that consent at any time by replying to any email we send you or through our contact form, and every message we send you will include a way to opt out.
Who we share it with
We keep this deliberately small. Your information may be handled by:
- Our hosting and email provider, which stores our website and delivers our email.
- Google, which provides our booking calendar and our workplace email and calendar (Google Workspace).
- Professional advisers, where we are required to seek advice.
- Law enforcement or a regulator, where we are legally required to disclose it.
We do not share your details with any other third party for their own purposes.
Where it is stored, and for how long
Form submissions are emailed to us and are also written to a protected file on our web server that cannot be retrieved over the internet. Access is restricted to us. Enquiry records are deleted after 90 days unless you have become a customer or have asked us to keep in touch, in which case we keep them for as long as that relationship continues and for any period the law requires after it ends.
Server logs are retained for a short period for security purposes and are then discarded.
Some of our service providers may store data outside Australia. In particular, Google may store and process booking information in data centres outside Australia. Where that is the case we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.
How we protect it
The site is served over TLS. Form submissions are transmitted over an encrypted connection and stored in a protected file on our web server that cannot be retrieved over the internet, with access restricted to us. We apply the same practices we would expect of any organisation we sell to.
No system is perfectly secure. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
Cookies
This site does not set tracking or advertising cookies. Any cookie used is strictly necessary to make the site function. When you open the booking calendar, Google may set its own cookies within it; those are governed by Google's policies, not ours.
Your browser remembers a couple of display choices on your device: light or dark mode, and the currency you pick on the pricing page. To suggest a currency, the pricing page reads your device's time zone in your browser. None of this is sent to us.
Accessing and correcting your information
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Use our contact form and we will respond within a reasonable period, normally within 30 days. We may need to verify your identity before acting on a request.
Complaints
If you believe we have mishandled your personal information, contact us first through our contact form. We will investigate and respond to you in writing.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Material changes will be brought to your attention where it is reasonable to do so.
